  -  MINUTES OF GENERAL MEETING FOR THE MUSIC FESTIVAL  -

                                WEDNESDAY, DECEMBER 7,  2011, 10:00 AM, AT SIESTA VILLAGE,

                  MULTI-PURPOSE ROOM, WESLACO,  TEXAS.

 

 

 

-George Rogers, President, called the meeting to order.  He welcomed the attendees, and thanked all for coming for the meeting.

 

-Ed Jones, Treasurer, advised that the checking account balance as of 12-07-2011, is $5,334.96.

 

A Motion was made by Roger McIntyre to approve the report as read; a 2nd was made by Dick Wynne.  The Motion was carried.

 

-Edy McKenzie, Secretary, read the Minutes from the 03-02-11 General Meeting.

 

A Motion was made by Kathy Rogers to accept the Minutes as read; a 2nd was made by Jan McIntyre.  The Motion was carried. 

 

Note:  Terry Drodge advised that a correction should be made to show that the names for “popcorn” and “kitchen” should be reversed; that Pete and Julie will do “popcorn”, and Roger and Jan will do “kitchen”.  This correction has been made to the 03-02-11 General Meeting Minutes.

 

-George Rogers, President, presented letters of commendation and plaques to Anna Jenkins, and to Bill and Mary Rose Dumboski.  Anna has served as Treasurer for five years, and Bill Dumboski has been on board since the outset of the Music Festival.  Mary Rose Dumboski has been a volunteer and contributor to the success of the Music Festival from the beginning.  They will be missed.

 

-Gene McKenzie advised that we have received confirmation with receipt of checks from the sponsors of 2 of the 5 stages; the City of Mercedes and WalMart.   The food vendors are on-board; they left their deposits in place following the 2011 Music Festival.  We need Arts & Crafts Vendors.  Tony Brezinski advises that he will set-up a volunteer sign-up sheet at Trails End; Lois Wright has a sheet prepared.  Trails End and the Weslaco Trailer Park are great contributors to the success of the Music Festival each year.  The Soup ‘n Sandwich Fund Raiser will be on Thursday, 01-05-12, commencing at 4:00 PM, at Siesta Retirement Village.  We need volunteers for parking, hall set-up/tear-down, and Ed Jones needs kitchen help.

 

-Karin Jones reported that the website is up-and-running.  In-put has been made for the 2012 Music Festival and the Soup ‘n Sandwich Fund Raiser Flyers; pictures have been posted from the 2011 Music Festival; a list of performers is posted.  Up-dates for the list of performers will be an ongoing project.  Jim and Marlys Weaver are volunteer Photographers for the Music Festival.

-George Rogers, President, advised that in order to vote on issues presented at a General Meeting, one must be a member of the Rio Grande Valley Music Festival.  Anna Jenkins has volunteered to manage sales of Memberships ($25.00), Advance Tickets for 5 days ($25.00), and tickets for other projects (Soup ‘n Sandwich, etc.).   (Please note that Daily Tickets at the gate will be $8.00 per person.) George has compiled a listing of performers for the Music Festival, and Karin Jones will in-put that list to the website, and will make changes and up-dates.  A Stage Managers Meeting is scheduled for 01-03-12; Janet Dyer will be in charge of any changes made to the schedule after 01-03-12.   Any changes made after 01-03-12 will not appear in the Program.  The Program will go to print the first part of January, 2012, and the cut-off date for any changes to the Program is 01-03-12.

 

We need one more Stage Manager.   If one is interested, please contact George Rogers, or one of the Trustees.

 

We welcome Lois Wright back to our meetings.  She has volunteered to be the Volunteer Coordinator for the 2012 Music Festival, and will need an assistant.  She will have sign-up sheets available.

 

Suzy Kreitz has volunteered to coordinate the advertising contacts.  She is contacting newspapers, Channel 5 TV, KURV,KBUC, the Monitor’s website, Winter Texan Times Brownsville Herald, Mid Valley Town Crier, etc.  She is doing a great job in this area.

 

Flyers have been ordered in two sizes; the ½ sheet ones are to be passed out at jams and venues, etc., and the full-page-ones are to be posted at Parks (be sure to contact management at Parks before posting on bulletin boards) or businesses.  Rack cards have been sent to all Tourist Centers located on highways coming to the Valley, and are available to be put in racks at hotels/motels, Chambers of Commerce, etc.

 

Judy Davis has volunteered to coordinate Retail Sales; she may need an assistant.  She is back in the Valley, but we have had no contact with her to-date.  The new shirts will have the new emblem, and we are ordering bright yellow and red.  Other colors may be ordered, on request.

 

Ed Jones has volunteered to coordinate the Soup ‘n Sandwich Fund Raiser as well as the kitchen at the Show Grounds. 

 

$20,000.00 was designated to be given as grants to Valley school music departments and youth groups following the 2011 Music Festival.  $18,500.00 has been given to-date, leaving $1,500.00 to be disbursed.

 

NEW BUSINESS.

 

-George Rogers, President, initiated discussion regarding the following:

 

  1. FUND RAISERS.  Ed Robinson advised that Tom and Candi Caine, and he, held a Fund Raiser Dinner at Quiet Village II, in September, and have donated $305.00 to Music Festival 2012.   Gene McKenzie advised that he and Lewie Jett are working with Bob and Jean Cain, at Ranchero Village, trying to get management approval for a Soup ‘n Sandwich Dinner; we will continue to follow up on this project.

 

  1. SURVEY.  The “word of mouth” and “friends” were the way most attendees learned about the Music Festival.

 

  1. ACKNOWLEDGEMENT OF BANDS.  Discussion was initiated by Louie Long regarding a way to acknowledge the band members.  They need recognition; Janet Dyer stated that she uses an easel board to list the names of the band members at her stage.

  1. PICTURES.  Pictures of the Board of Trustees and Officers of the Board are scheduled to be taken following the General Meeting.  Jim Weaver, RGVMF Photographer, will be taking the pictures.

 

A Motion was made by Bill Kreitz to adjourn the meeting; a 2nd was made by Leo Smith.  The Motion was carried.
